Work Session 

Trustee Corey called the meeting to order at 5:30 p.m. Trustee Patterson and Trustee Romano was present. Also present was Township Administrator Dan Evers, Fiscal Officer John Wahle and Law Director Tom Swope.

Pastor Heath Webster, Deerfield United Methodist Church, gave the opening prayer.

Trustee Patterson led the Pledge of Allegiance.

Presentation

The Board recognized Lt. Brian Tinch and his service as Deerfield Township Post Commander. Lt. Tinch is being promoted to Major and a new position with the Warren County Sheriff’s Department.

Executive Session

A motion by Trustee Romano and second by Trustee Corey to enter executive session to discuss sale of property. Motion carried unanimously.

A motion by Trustee Romano and second by Trustee Corey to return to regular session. Motion carried unanimously.

Presentation

Meredith Raffel, Mason Area Arts Council, gave a presentation on potential partnering opportunities. 

Fiscal Officer

John Wahle presented the agenda items.

Mr. Wahle presented April Financial Reports regarding General, Fire/EMS, Road/Bridge, Warren County Sheriff’s Department and Parks Department.

A motion by Trustee Corey and second by Trustee Romano to approve Purchase Orders #09-12668, 12677, 12679, 12680, 12682 and Warrants #54844 through 54888. Motion carried unanimously.

A motion by Trustee Corey and second by Trustee Romano to approve Resolution 2009-39 A Resolution Directing Payment of Township Expenses, Declaring an Emergency and Disposing with the Second Reading. Motion carried unanimously.

Public Works

Larry Weis, Public Works Director, introduced the agenda item and resident Chuck Easley (9776 Carriage Run Court). Mr. Easley made a request for “Engine Braking” signs along US 22 & 3.

Dan Evers presented the agenda item.

A motion by Trustee Romano and second by Trustee Patterson to approve payment of CDS Associates, Inc., Invoice #0046147 in the amount of $5,100 for their professional services through April 30, 2009 from the TIF 98 General Reserve Fund. Motion carried unanimously.

Larry Weis presented for discussion a Sidewalk Repair/Replacement Policy.

Fire Department

Dan Evers presented the agenda item.

A motion by Trustee Romano and second by Trustee Patterson to approve the fire equipment time line and associated expenditures as presented. Motion carried unanimously.

Public Relations

Fran Klatte, Public Relations Director, oversaw a conference call/presentation from Robert Vogel, Peak Democracy/Open City Hall Services.

Parks Department

Joel Smiddy, Parks Director, presented the agenda items.

Mr. Smiddy presented a request for a Cottell Park Master Plan. The Board discussion included the feasibility of a master plan for each township park.

The Cottell Park Tennis and Basketball agenda item was tabled to the June 2Ttrustee meeting. 

Administration

Dan Evers presented the agenda items.

A motion by Trustee Romano and second by Trustee Corey to approve payment of Invoice #13-2043-1 from Joe Dirt in the amount of $6,727.92 from the TIF 98 General Reserve Fund. Motion carried unanimously. 

A motion by Trustee Romano and second by Trustee Patterson to approve the Worksite Agreement with Workforce One of Warren County and authorize Township Administrator Dan Evers to execute all required documents for the Agreement. Motion carried unanimously.

Trustee Corey relayed the information that RFPs for banks has been sent out by the Fiscal Officer.

Human Resources

Dan Evers presented the agenda item.

A motion by Trustee Corey and second by Trustee Patterson to approve the attendance of Dan Evers, Chris Eisele, Lois McKnight, Peggy Monjar, Joel Smiddy and Larry Weis at the Leadership Courage Workshop on June 2, 2009 in West Chester, OH at a total cost of $845. Motion carried unanimously.

A motion by Trustee Corey and second by Trustee Romano to adjourn. Motion carried unanimously.
